Notice for the 12th Annual General Meeting cum Election of 7th Standing Committee 2023-2025

HKUST Convocation will have its twelfth Annual General Meeting cum Election of 7th Standing Committee on 18 March 2023, with details as follows:

Registration

All alumni are welcome to join the Annual General Meeting. Advance registration is required - please register HERE by 16:00 pm on 14 March 2023 (Tuesday). 

HKUST Convocation

The Convocation of HKUST as a component of the University was created by section 17 of the HKUST Ordinance (Chapter 1141 of the Laws of Hong Kong). In November 2010, the University Council approved the formation of the HKUST Convocation with its StatuteConstitution and Rules. According to the Constitution, all degree graduates of HKUST are members of the Convocation.

Standing Committee

According to the Constitution of the Convocation, a Standing Committee is the executive body of the Convocation. The 6th Standing Committee, which consists of nine members, was elected on 8 March 2021 (Monday). They serve for a term of 2 years from 1 April 2021. 

Call for Nominations

Nominations are now invited for the Election of the 7th Standing Committee of the HKUST Convocation. A total of 9 seats are available. Each elected member will serve for a term of 2 years commencing from 1 April 2023. Those eligible to nominate and be nominated are members of Convocation. The eligibility of candidates of the Standing Committee is as prescribed in the Constitution. It will be followed by a subsequent meeting among the elected members of Standing Committee, by which a Chairman and a Vice-Chairman shall be elected.

Nomination Procedures

Nomination forms are available online here for downloading or on request from the Convocation Secretariat via email at convocation@ust.hk.

Nominations shall be in writing by at least ten members of the Convocation. All nominations shall be sent to the Secretariat. The nomination shall be accompanied by a signed statement that he/she is willing to stand for the Election. Nominees should also submit, before the closing date of nominations, a brief biography in English of no more than 250 words for publication purpose.

Closing Date for Nominations

Nominations should reach the Secretariat, HKUST Convocation, c/o Development and Alumni Office, HKUST, Room 3008, Clear Water Bay, Kowloon, by Hong Kong Time 12:00 on 24 February 2023 (Friday).

For nominations sent by email to convocation@ust.hk, the submission date and time are based on the recorded time stamp of the Secretariat's email server. For nominations sent by mail, to ensure delivery, all nomination related documents are recommended to be sent in by registered mail to the Secretariat of HKUST Convocation.

Voting Arrangements

Where the number of nominations exceeds the number of vacancies, an Election will be held. Convocation members may vote online from Hong Kong Time 14:00 on 
28 February 2023 (Tuesday) to Hong Kong Time 15:00 on 13 March 2023 (Monday) or to attend the Election at the AGM scheduled at Hong Kong Time 15:00 on 18 March 2023 (Saturday)
. Where the number of nominations does not exceed the number of vacancies, the nominees shall be declared elected.


You will need your HKUST alumni email voting account (@alumni or @connect account) and password to cast your votes on the E-Voting platform.

Get your login details ready NOW so that you can cast your votes online from Hong Kong Time 14:00pm on 28 February 2023 to 15:00pm on 13 March 2023. The voting link will be posted on the Convocation website during the voting period.

Alumni whose email accounts are not activated before Hong Kong time 12:00 pm on 24 February 2023 will NOT be eligible to vote online. Alumni will have to attend the physical voting on 18 March 2023 to cast their votes at the Annual General Meeting.
